  • “Client” – any individual, practice, or organization engaging our services.

  • “Virtual Medical Assistant (VMA)” – trained personnel provided by VMA Service for non-clinical and administrative support.

  • “Services” – all virtual assistant, administrative, and healthcare support solutions offered by VMA Service.


2. Scope of Services

We provide non-clinical, HIPAA-compliant virtual support to healthcare providers, including but not limited to:

  • Medical Receptionists

  • Appointment Scheduling

  • Billing & Coding Support

  • Medical Scribes

  • Patient Communication Assistance

  • Administrative Support

We do not provide medical diagnosis, treatment, or clinical advice. All services are for administrative and operational support purposes only.


3. Eligibility

To use our services, you must:

  • Be at least 18 years old.

  • Be legally capable of entering into binding agreements.

  • Represent a legitimate business or healthcare practice.


4. Client Responsibilities

You agree to:

  • Provide accurate and up-to-date information.

  • Ensure compliance with all applicable healthcare regulations, including HIPAA.

  • Use our services for lawful purposes only.

  • Maintain appropriate security measures for data shared with your VMA.


5. HIPAA & Data Privacy

We are committed to maintaining HIPAA compliance. All client and patient information must be transmitted and stored using secure channels. While we implement strict security measures, the client is responsible for ensuring any data provided complies with local, state, and federal laws.


6. Payments & Billing

  • Payment terms will be outlined in your service agreement.

  • Late payments may result in suspension or termination of services.

  • All fees are non-refundable unless otherwise stated in a signed agreement.


7. Intellectual Property

All website content, branding, and training materials remain the property of VMA Service and may not be reproduced, distributed, or modified without written consent.


8. Service Availability

We strive to ensure uninterrupted service, but we do not guarantee that our website or services will always be available or error-free. Scheduled maintenance and unforeseen technical issues may cause temporary downtime.


9. Limitation of Liability

VMA Service shall not be held liable for:

  • Any indirect, incidental, or consequential damages.

  • Errors caused by third-party software, EHR systems, or client-provided data.

  • Any loss resulting from misuse or misinterpretation of our services.


10. Termination

We reserve the right to suspend or terminate services if:

  • You breach these Terms.

  • Payment obligations are not met.

  • Misuse or unethical behavior is detected.


11. Changes to Terms

We may update these Terms at any time. Continued use of our services after changes are posted constitutes acceptance of the revised Terms.


12. Governing Law

These Terms are governed by the laws of the State of Michigan, without regard to conflict of law principles.
